1. Information we handle
We handle the information needed to provide Automa, including account and profile details, workspace and CRM records, agent instructions, automation settings, prompts, messages, email drafts, and activity data. The information you choose to add to Automa remains under your control.
2. Connected services
Automa can connect to services you choose to authorize. For example, when you connect Gmail, Automa uses the permission you grant to prepare, send, and manage the email functions you request. Gmail access tokens and refresh tokens are stored on the server and are not displayed in the Automa dashboard. You can disconnect a service through Automa or revoke its access from the provider's account settings.
3. How we use information
We use information to operate and secure the service, authenticate users, save dashboard data, run the automations you configure, generate requested AI content, send messages you direct us to send, provide support, and improve the reliability of Automa.
4. AI processing
When you ask an Automa agent to create content or respond to a workflow, the relevant prompt and context may be sent to the selected AI provider, such as OpenAI, to generate that response. Do not include information in a prompt unless you are authorized to use it for that purpose. AI-generated results should be reviewed by a person before they are relied upon or sent externally.
5. Service providers
Automa uses service providers to deliver the product, including Firebase for authentication and database services, Vercel for hosting and server functions, OpenAI for requested AI features, and Google when you choose to connect Gmail. Each provider processes information under its own terms and privacy documentation.
6. Sharing
We do not sell personal information. We share information only as needed to provide a feature you request, with a connected service you authorize, with service providers supporting Automa, or when required by applicable law.
7. Security and retention
We use reasonable technical and organizational safeguards designed to protect the service. No online system can guarantee absolute security. We retain information for as long as it is needed to operate your workspace, meet legal obligations, resolve disputes, and enforce agreements. You can remove workspace data through available product controls or request help through the support channel provided with your Automa account.
8. Your responsibilities and choices
You are responsible for the information, contacts, and content that you add to Automa. Use only data you are permitted to process, keep your account credentials secure, and obtain any necessary consent before sending automated messages. You may update your profile, remove local dashboard data, manage integrations, or stop using the service at any time.
9. Changes to this policy
We may update this policy as Automa evolves. The current version will be published on this page with its effective date.
10. Contact
